It’s time to make a list of everything. This is going to seem scary and overwhelming, but it’s 200% necessary.

Let’s face it. 

You know this already.

YOU HAVE TOO MUCH TO DO.

If you don’t engage with the art of effective delegation you will be unnecessarily burdened on the road ahead. You can’t win the race carrying all that baggage! 

If you fail to turn your workflows into processes that other people can perform, you are at risk of several things 

  1. Having to do everything yourself forever…or until you quit due to being exhausted. 
  2. As you get busier, you start dropping the ball and nobody knows how to pick up the pieces for you.
  3. You take a step forward with new opportunities but then it’s two steps back as your hired help requires hand-holding and training at the most inconvenient time.

If you’re going to build something, you should first work out the actual costs. We’ve all seen programs like Grand Designs where people set out to construct their ideal home. Sadly, there are many episodes when people end up living on building sites due to miscalculations, a lack of contingency funds, or contractors letting them down. 

I’d like to invite you to make a list of everything that you currently do and everything that you feel should be done in the various departments of your organisation.

Please make a list of everything in the 

  1. CREATIVE DEPARTMENT
  2. ADMIN DEPARTMENT 
  3. MARKETING DEPARTMENT 
  4. CUSTOMER SERVICE

This list will run to hundreds of entries.

You should then estimate how many times each task needs to be performed each year and how long you think it will take each time. This can then help you to assess how much time is required each week and each month across departments within your business.

I’d like to encourage you to use this list to compile operation manuals, training documents (internal and external) and checklists for all of your key tasks. This is a vital knowledge base for you, your current team and your future team.

Just imagine that you have an amazing personal assistant who provides incredible support to you when it comes to administrative tasks and marketing activities. What would happen if they resigned tomorrow? The danger is that they will take their knowledge and processes with them and you will be left to work everything out again and train the next person up from scratch, without vital experience.

If you get your team today to enrich your processes, you will aid the team of tomorrow. That team will go so much further and so much faster.

Make sure you fill out the analysis columns for each activity by scoring out of 5.
